Content Management: Customizing Topics

Topics are one of the best ways to organize and customize your community. All Rafts and most Posts have at least one topic associated with them. Community Admins and Department Admins have the ability to fully manage the names, icons, and associated content for all topics from the Admin Portal. Topics are a great tool to promote discoverability, since members can then search Rafts and Posts in the community simply by filtering search results by Topic. 


Accessing the Topic Manager


To access the Topics Manager, go to the Admin Portal and select the Content dashboard. Once there, go to Topics on the left hand Content Management menu. If you do not see this option and believe you should, reach out to your Success Manager or contact us


Adding Topics


To add a new topic, select the + Add option at the top left of the Topics Management dashboard. Hover over the available default topics from the dropdown menu and click on one to add it. You can also select Create New to add a fully custom option.


Once you add a custom topic, give it a name of up to 20 characters and choose an icon by selecting from the dropdown list of suggested emoji icons. You can also choose from the full list of emoji by selecting the "add new" (+) in the icon dropdown. 


After your topic has a name and icon, choose the availability of the topic by selecting the availability dropdown. The default is Posts, meaning that the topic can be used to tag Posts only, but you can also choose Rafts only or both Posts and Rafts.


Finally, don't forget to save each topic you create by selecting Save on the right side of the topic row. Each topic must be saved individually.


Editing Topics


Existing topics can be edited at any time from the topics dashboard. To change the icon, select the button with the current emoji for a given topic to open a dropdown menu of categories. Each category has a number of default icons to choose from, as well as a white "add new" (+) button. Selecting the plus sign opens a full list of emoji to choose from. The name of any topic can also be edited. Simply select the topic name you want to edit and type the updated title. You can also edit the topic availability and choose between Posts onlyRafts only, or both Posts and Rafts. Make sure you select the Save button next to any topic you edit, as the changes will not be saved automatically. 


Managing Content


It is possible on the topics dashboard to view how much content has been assigned a particular topic and to reassign content if needed. Next to each topic on the dashboard is a graph icon to give a brief idea of how much content is tagged with a specific topic. 


  • Grey ー No content has been tagged yet with that topic
  • Yellow ー A moderate amount of content has been tagged with that topic 
  • Red ー A high amount of content has been tagged with that topic


To see exactly how many Posts and Rafts are tagged with a topic (and to reassign them), hover over the "More menu” (...) icon on the far left of a topic row. (Note: If a topic has no content, there will be a trash icon instead of the "...".) Click on the "More menu” (...) icon to open the Manage tagged content option, which will open a new menu. From that menu, you will see the number of Posts and/or Rafts tagged with that topic on a card. Select the checkbox on the top left of the card to view options to transfer all Posts or Rafts to a different topic or to remove the topic entirely. 


When you select Transfer Posts/Rafts to a new topic, you will then see a list of all available topics in your community. You can choose one new topic to reassign Posts or Rafts to, then select Transfer Posts/Rafts. Depending on the amount of content being transferred, this may take a while to complete, but you will see a message upon a successful transfer.


When you select the Remove topic from Posts/Rafts, it will untag all selected content with that topic, so make sure that is your goal before selecting that option.


Deleting Topics


Topics that aren't being used can be deleted from the dashboard. If a topic has no assigned Posts or Rafts, a delete (trash can) icon will appear on the left side of the topic row. Select the icon and confirm your deletion. If you want to delete a topic that has assigned Posts or Rafts, you must first transfer the content to a new topic or remove the topic you want to delete.
