Overview

After publishing and running events, use the Events Manager to review participation, export attendance, analyze feedback, and continuously improve future events.

Managing Events

In the My Events tab you can filter events by date tapping the Date filter, and review:

Event Summary

  • Location, date/time, invited Rafts.

Attendance Statistics (if check-in enabled)

  • Check-ins/outs with timestamps, showing engagement and peak times.

Invited Members

  • Compare invited vs. attended to gauge reach.

Pro Tip: Use patterns (popular times/locations) to optimize scheduling.

Download Attendance Reports

Export CSV/Excel with:

  • Registered Members

  • Checked-In Members (with timestamps)

  • Checked-Out Members (with timestamps, if enabled)

Use cases: record-keeping, stakeholder reporting, and multi-event trend analysis (e.g., by Raft or time window).

View and Download Feedback

Access all attendee feedback in a dashboard:

  • Overall Satisfaction (emoji/star averages)

  • Text Comments (qualitative insights)

Export feedback as CSV/Excel to:

  • Share insights with teams

  • Identify improvements

  • Benchmark success across events

Pro Tip: Track recurring themes (timing, logistics, content) and set targets (e.g., raise average rating over the term).

Best Practices

Add Engaging Media

  • High-quality visuals, videos/GIFs, and linked resources (PDFs, handouts, schedules).

Tip: Keep branding consistent for recognition and professionalism.

Assign Event Assistants for Large Events

  • Streamline check-in stations, provide on-site help, and manage flow.

  • Brief assistants and consider rotating shifts for high-traffic windows.

Collect and Analyze Feedback

  • Request feedback after every event, review trends, and share summaries.

  • Set benchmarks (e.g., satisfaction score targets; reduce recurring logistical issues).

Strategic Cross-Posting to Relevant Rafts

  • Prioritize relevance to avoid notification fatigue.

  • Use topics for broader discovery without over-posting.

Tip: Monitor analytics; prioritize Rafts that show higher engagement.

FAQ

Managing Attendee Access and Check-In

How do I restrict check-in to specific attendees?
Use Admin-only Check-In and place assistants at entry points with expected-attendee lists.

Why isn’t check-in available for my event?
Check-in must be enabled for the Raft and requires the right permissions. If unavailable, ask your Raftr admin/support to verify.

Can I enable multiple check-in methods?
Yes. Combine, for example, QR self check-in with Admin-only for flexible flows.

Can I track attendance without check-out?
Yes. Disable check-out to record arrivals only—ideal for brief or open-door sessions.

Event Registration, Notifications, and Reminders

How do I ensure reminders go out?
Enable Event Registration and set reminders (1 hour / 1 day / 1 week before). Registrants receive push notifications automatically.

Can I cap registrations?
There’s no hard cap. Monitor registrations manually and close the event when you reach capacity.

Can I see if reminders were opened?
Opens aren’t tracked. Infer effectiveness by comparing reminder timing with attendance rates.

Event Editing, Duplicating, and Deletion

Can I edit after publishing?
Yes—title, description, date/time, and most details can be edited. Some elements (e.g., Raft selection/cross-posting) may lock post-publish to prevent notification conflicts.

Tip: For major changes (new date/location), consider deleting and recreating to avoid confusion.

How do I cancel an event and notify attendees?
Delete the event in the Admin Portal. Deletion doesn’t auto-notify; post an announcement in relevant Rafts or message registrants.

Attendance Tracking and Data Export

Can I download a list of attendees?
Yes—export CSV/Excel with names, registration status, check-in/out timestamps, and any feedback.

Tip: Compare attendance with satisfaction to get a full engagement picture.

Conclusion

Raftr’s Events Manager supports the full lifecycle: create, publish, staff, remind, check-in/out, report, and improve. Use attendance + feedback data and the best practices above to iterate toward higher engagement and smoother operations. If you need access or run into permissions issues, contact your platform administrator or support.
